Privacy Policy
Down Home Solutions LLC ('we', 'us', or 'our') is committed to protecting your privacy. This Privacy Policy explains what information we collect when you visit this website or apply to rent one of our homes, how we use and share it — including through our rental-application, background-check, and payment partners — and how long we keep it.
Information We Collect
We collect information you provide directly through our online rental application, and information our screening and payment partners share back with us once you apply:
- Contact and application information you submit — full name, email address, phone number, and (if selected) the property you're interested in
- Application status and any internal notes staff record while reviewing your application
- Background-check results reported to us by Checkr once you complete Checkr's own screening process — we receive the adjudication (for example, 'clear' or 'consider') and report details, but we never collect, see, or store your Social Security number ourselves; Checkr collects that directly from you
- Payment confirmation from Stripe when an application or background-check fee is paid — we never see or store your card number
- Standard web log information such as IP address, browser type, and pages visited
How We Use Your Information
We use the information we collect to:
- Evaluate and process your rental application
- Coordinate a background check through Checkr once an application is approved for screening
- Process application and background-check fees through Stripe
- Communicate with you about your application status and, if approved, your tenancy
- Maintain the records we need to run our property-management business, including fair-housing and landlord-tenant recordkeeping obligations
- Improve our services and respond to inquiries
Background Checks & Screening
If your application is approved for screening, you'll complete a background check through Checkr, an independent consumer reporting agency. Checkr — not Down Home Solutions LLC — collects your identifying information (including your Social Security number, where required) directly from you and obtains your authorization under the Fair Credit Reporting Act (FCRA) before running any report. We never collect or store your Social Security number ourselves. Checkr reports the result of the screening back to us, and we use it only to decide whether to move forward with your tenancy. In some cases we may cover (sponsor) the background-check fee ourselves rather than charging the applicant; the Checkr screening process is identical either way.
How We Share Your Information
We do not sell your personal information. We share it only with the service providers who help us run the application, screening, and payment process, and only to the extent needed to provide that process, or where required by law:
- Checkr — performs the background check once your application is approved for screening
- Stripe — processes application and background-check fee payments
- Amazon Web Services (AWS) — hosts the database that stores your application record
- Slack — internal notification channel, visible only to Down Home Solutions LLC staff, used to alert our team when a background check completes
- Google Drive — internal record storage for completed screening results, accessible only to Down Home Solutions LLC staff
- Vercel — hosts this website
Cookies & Analytics
We use a small, limited set of cookies and cookie-less analytics to run and understand this website. See our Cookie Policy for the specifics of what we use and why.
Data Retention
If you start an application but never complete it, that record is automatically deleted after 180 days. If your application is approved or rejected, we keep the application and screening result for as long as we need it for our business records and legal obligations — including fair-housing recordkeeping, tax records, and defending against disputes — after which it is deleted. You can ask us to delete your information sooner using the contact details below, subject to any retention we're required by law to maintain.
Your Rights
You have the right to access, correct, or request deletion of the personal information we hold about you, subject to the retention needs described above. California residents have additional rights described in our California Privacy Notice.
Changes to This Policy
We may update this Privacy Policy from time to time. Any changes will be posted on this page with an updated revision date.
